Radio Kingston is hiring! We’re seeking an Operations Associate to join our Full Time team. 

The Operations Associate is an essential role tasked with supporting the Operations Director in maintaining the  smooth operations of Radio Kingston. Specifically, this role supports general administrative functions of the Operations Department, the maintenance of the RK campus, and manages special projects as assigned. This position requires a multifaceted, experienced, administrative generalist with some specifically advanced skills, is not considered entry level, and requires enthusiasm for all things administrative. What We Do

We’re a 24/7 AM FM radio station that provides a platform for over 50 shows and hosts representing the Kingston community, in service to the community. We provide technical audio and visual support for other local non-profit and government organizations to help them expand their reach, vision, and message. 

 

About the Role

The Associate has their hands in all aspects of operational functioning, from providing administrative support, to facilitating expenses with the Finance Team, to managing employee phone plans, coordinating vendors for internal and external initiatives, and facilitating staff-wide compliance training programs to producing community events with an energetic and enthusiastic team, and everything in between. This position requires dependability, organization, attention to detail and agility. From iteration to completion, the Operations Associate gets it done.

Required Skills

    • Reliable personal transportation is helpful but not required

Desirable Traits and Skills

  • Kingston Residency – within the Kingston City School District – Strongly Preferred
  • Actively engaged with the Kingston Community
  • Bi-Lingual (English / Spanish)
  • Familiarity with WordPress CMS & Squarespace
  • Adobe Photoshop & Illustrator – Knowledge of graphic design principles and best practices.
  • Familiarity with Zapier

 

Administrative Operations

General Administrative Support

Maintenance of internal systems and functions include, but are not limited to:

  • RK Intranet Page (Host Services, Benefits, Communications)
    • Business Cards
    • Staff Engagement Initiatives 
    • Trainings – Mandatory and Optional
      • Facilitate the deployment of trainings across the org as assigned
    • Calendaring
    • Maintaining platforms for the communication of benefits and HR processes
  • Scans / Digital Filing System
  • Music Licensing – Contractual Reporting to Several Music Licensing Organizations
  • Google Admin
  • Staff Verizon Phone Plans / Device and Portal Management
  • Software Portal Management
  • Legal Documents
    • Facilitates contract administration
  • MDM & Other Device Management / Maintenance 
  • Apple Business Manager
  • Management of all Digital Forms and Digital Filing Systems
  • Maintaining Contact Lists
  • Tracking Vehicle Maintenance Schedules (Inspection, Registration, Repairs, etc)

Facilities 

This role also supports the healthy functioning of the Radio Kingston Campus, ensuring that any repair and maintenance required for the buildings located at 693-701 Broadway is executed. In addition, Radio Kingston leases several nearby properties, and these locations will also require support. This entails coordinating with existing vendors, obtaining quotes for new service and executing service contracts.

Specific examples of facilities support include, but are not limited to:

  • Office Cleaning
    • Schedule vendors to maintain all RK facilities, including weekly cleanings, garbage / recycling, compost service, etc. Ensure vendors have supplies needed to execute their work at RK facilities.
    • Support with facility tidiness between cleaning visits.
  • Refuse Remediation 
  • General Repairs
    • Schedule and act as point person for on-site maintenance and repairs with current vendors.
  • Snow Removal and Remediation
  • Grass Cutting at all RK Properties
  • Maintaining Fire Extinguishers, First Aid and Trauma Kits, etc 
  • Act as point person for emergent facilities issues
  • Maintain schedule of facilities usage
  • Ensure approved staff have keys, access codes, etc to various facilities
  • Procuring office supplies & miscellaneous materials
    • Ensure necessary office supplies are stocked an available at all facilities 

 

Additional Tasks / Projects As Assigned

Examples of “Flex Tasks” Include, but are not limited to:

  • Shipping and Receiving
  • Gopher Runs (Bank, Post Office, Pickups from Local Vendors, etc)
  • Grocery shopping – All Facilities
  • Coordinating / Supporting Internal Team Events
  • Facilitating Catering
  • Ordering Supplies / Inventory & Restocking
  • Maintain Inventory of Event Supplies and Promotional Materials
    • Organizing supplies before and after events as assigned
  • Event Production Support
    • Assist with the execution of RK Produced and Sponsored Events as assigned.
      • Tasks will vary depending on the scope of the event.

 

Expected Commitment

We expect a commitment of 40 hours per week – mostly on-site at our Midtown location – to occasionally include availability for organizational events as assigned on evenings and weekends. This role is envisioned as mid-level position, offering a competitive salary and generous benefits package.
